Conversica offers many flexible options for configuring your AI-powered Assistant's signature in Assistant Settings. The signature that you configure in Assistant Settings is the default signature that is displayed to contacts in your AI-powered Assistant's outbound messages. The exception to this is when a user creates a Custom Signature in their Add a User.
Accessing the Assistant Settings
- From the navigation bar, click Settings > Assistant.
Configuring Your Assistant's Signature
To add or update information to your Assistant’s signature in any of the below fields:
- Choose the Assistant you wish to edit and click Edit Assistant.
- Enter your changes in the appropriate fields.
- Click Save.
Your changes will take effect immediately and will be reflected in your Assistant's next sent message
Customizable Signature Fields
Field | Description |
First Name | Enter the first name of your assistant.

Last Name | Enter the last name of your Assistant. This field is optional but is recommended. |
Email Account | This field auto-populates with your domain. |
Phone | Enter a phone number for your Assistant. Be sure the number directs to someone who is trained on taking calls for your assistant and can route callers appropriately.

Title | Enter your Assistant's title.

Company | Enter the name of your company as you want it to appear in your Assistant's messages. This field defaults to the company name in Company Settings. Refer to Configure Company Settings for more information.

Website | Enter your company's website. |
Extension | Enter an extension that may be grouped with the Phone Number.

Address | Enter your company's physical address.
|
PS | Enter a postscript statement. This field supports free-form text that can be added to the signature.

Signature Templates
When configuring your Assistant’s signature, you will be able to select one of five available signature templates. These templates will arrange the available fields below to dynamically create a consistent email signature when messaging.
- Choose the Assistant you wish to edit and click Edit Assistant.
- Scroll down to Choose a Signature Template.
- Select the template you want to use and click Save.
Your changes will take effect immediately and will be reflected in your Assistant's next sent message.
Customizing the Signature Image
Assigning a signature image enables Conversica’s Open Tracking feature. Additionally, adding a signature image for your Assistant ensures that Conversica's outreaches have a uniform appearance consistent with your brand, and any outreach sent from a rep or manager.
Images are uploaded on a per-assistant basis. This means accounts with multiple Assistants may use a unique image for each Assistant’s signature. This allows Assistants assigned to different geographies, languages, or lines of business to be customized for their target audience.
Signature Image Requirements
Images uploaded to your Assistant's signature must meet the following requirements:
- File Type: jpg, png, gif
- Size: <100kb
- Recommended Pixels: 150x150 pixels
Conversica recommends applying the same signature image used by reps & managers to provide your contacts with a consistent experience.
Note: If selecting a new image for your Assistant's signature, Conversica recommends an image that is no more than 300 pixels wide, and .png when the image contains transparency.
How to Upload, Change or Remove an Image
- Choose the Assistant you wish to edit and click Edit Assistant.
- Below your Assistant's details, click Upload File.
- Select your desired image and click Save.
Your changes will take effect immediately and will be reflected in your Assistant's next sent message.
FAQ
Q: Is it possible to resize large images after upload?
A: At this time, uploaded images are not being rescaled. If you upload a large image which is within our maximum file size, the image will be accepted and applied as-is. This may result in a poor quality signature. When/if this occurs, please refer to the recommendations in Image requirements, above.
